Privacy Policy: How Kelvin Mechanical Handles Your Information

This policy explains what personal information Kelvin Mechanical collects through this website, why we collect it, who we share it with and how you can access or correct it.

Status and effective date

Effective date: Draft - effective on launch.

Kelvin Mechanical ("we", "us") operates this website. This policy follows the principles of Canada's Personal Information Protection and Electronic Documents Act (PIPEDA): accountability, identifying purposes, consent, limiting collection, limiting use, disclosure and retention, accuracy, safeguards, openness, individual access and the right to challenge compliance.

This draft needs legal review before launch.

What we collect

We collect the information you give us and some information your browser sends automatically.

  • Contact details: your name, phone number and email address
  • Location: your address, city or postal code, so we can confirm our service area and find your property
  • Service details: the equipment, the problem or project, the property type, the current heating system, fuel type and anything else you tell us
  • Photos you upload: for example your existing equipment, its label or your electrical panel
  • Tracking fields sent with forms: the page you came from, campaign parameters (UTM), your device and browser type, and the urgency you selected
  • Messages and call notes: what you write or tell us when you contact us
  • Analytics and cookie data: described in the cookie and analytics section below

Why we collect it

  • To respond to your request, book visits and prepare quotes
  • To review rebate eligibility details you ask us to check
  • To arrange work with our licensed and qualified professionals and trade partners where needed
  • To provide after-sales support and service reminders you ask for
  • To understand how the website is used and improve it
  • To measure whether our advertising and search listings work
  • To meet legal, tax and accounting requirements

Photo uploads

Photos help us understand your equipment before a visit. Uploads are optional. Photos are sent over an encrypted connection, stored with access limited to people who need them to handle your request, and used only for that purpose.

Please do not upload photos of people, documents or other personal items. Photos can carry hidden data such as location, so we may remove it. We delete photos when they are no longer needed for your request, our service records or our legal obligations.

Cookies, analytics and tracking

This website may use cookies and similar technologies to work properly and to measure how it is used. These are the tools we use or may use.

  • Google Analytics 4 (GA4): counts visits and shows which pages and sources lead to inquiries
  • Google Tag Manager: manages the measurement tags on the site
  • Google Search Console: shows how the website appears in search results, using search data and not your form submissions
  • Call and chat tracking: used only if enabled, to record where a call or chat came from. If we ever record the content of a call or chat, we will tell you at the start

You can limit cookies in your browser settings, or use your browser's privacy features and Google's opt-out tools for analytics. Where a cookie notice appears on this site, you can choose which optional cookies to allow. Blocking some cookies may affect how the site works.

Who we share information with

We do not sell your personal information. We share it only as needed to run the website and deliver your request.

  • Service providers (processors): website hosting, email delivery, customer relationship management (CRM), scheduling and analytics providers that handle information on our behalf under their own security terms
  • Trade partners and professionals who carry out your project, limited to what they need for the job
  • Finance, leasing or rental providers or program administrators, only when you ask us to help with an application or eligibility check
  • Authorities or advisers where the law requires, or to protect our legal rights

Some providers, including analytics providers, may store or process information outside Canada. Where that happens, the information is subject to the laws of that country.

How long we keep it

We keep personal information only as long as needed for the purposes above. Inquiries that never become jobs are kept for a limited period. Service and warranty records are kept for as long as we need them to support the equipment and meet legal and accounting requirements. When we no longer need information, we delete it or make it anonymous.

Specific retention periods will be confirmed in the legal review before launch.

Keeping information safe

We use reasonable safeguards for the sensitivity of the information: encrypted connections, limited access, and service providers bound by confidentiality and security terms. No system is perfectly secure. If a breach of security safeguards creates a real risk of significant harm, we will report and notify as the law requires.

Access, correction and questions

You can ask to see the personal information we hold about you, ask us to correct it, ask us to delete it where we no longer need it, or withdraw consent. We may need to confirm your identity first, and we will respond as the law requires.

Send requests to info@kelvinmechanical.ca or call +1 905-407-7353. If you are not satisfied with how we handled a concern, you may contact the Office of the Privacy Commissioner of Canada.

Children

This website is for adults. We do not knowingly collect personal information from children. If you believe a child has sent us information, contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. The effective date will change when we do, and the current version will always be on this page. If a change affects how we use information you already gave us, we will ask for your consent where the law requires.
